Offer: The offer given to you by the tour operator can be recalled. This might happen in case the trip or the desired accommodation has been fully booked.
Liability of booking: The person booking a trip is fully liable for both himself and all others applied. Regarding minors, the person booking the trip has to show that either the parents or the legal guardians gave permission for the minor to join the trip.
Nature or the trip and liability 1. The traveler confirms that he or she knows about the adventurous nature of the trip and the accompanying possible lack of comfort, as well as with possible program changes due to local circumstances. 2. Seen by the nature of the trip, the traveler has to be aware of certain risks and the possible lack of or less available medical care, infrastructure and communication resources. 3. For direct or indirect material and/or medical damage, or the results of which, where the traveler cannot invoke his or her travel insurance, or which is not covered by the guarantees of Stichting Garantiefonds Reisgelden or Stichting Calamiteitenfonds Reizen, the traveler can in no way invoke liability on either H3Reizen or local contractors.
Cancellation fees: Possible cancellations can only be informed to us during office hours. Cancellations outside office hours are supposed to be performed on the next workday. A: Cancellation up to 42 before departure; 15% of travel fare B: Cancellation from 43 days up to 28 days before departure; 35% of travel fare C: Cancellation from 28 days up to 21 days before departure; 50% of travel fare D: Cancellation from 21 days up to 7 days before departure; 75% of travel fare E: Cancellation from 7 days up to the day of departure; 100% of travel fare In case the cancellation fees given to us by the distributor will be higher than the total travel fare, the cancellation fee will be increased with the extra costs. After departure, cancellation fees number 100% of the total travel fare. We advise you to cover any cancellations with cancellation insurance. Contact your insurance company for more details regarding cancellation insurance.
Car rental: For both our fly-drives and our camping trips, we serve as intermediary when renting a car. You can inform us about your preference for a certain car and/or car hire company. The distributor always has the right to replace the rented car for a similar model. The car will be offered to you at the office of the car hire company in Windhoek. Please pay attention to all the necessary details when signing the renting contract. From the moment you sign the contract, you agree with its contents, for you cannot recover the contract after its expiration date. This goes as well for the final pay off. H3Reizen and its employees are never responsible for any problems or calamities with a rented car. You have to be aware of the fact that car renting agencies are independent organizations and thus are responsible for renting their cars.
Luggage: Commonly, luggage cannot exceed the weight limit of 20kg a person (this excludes children under the age of two). If your luggage exceeds the weight limit, you have to pay extra. The amount you have to pay extra depends on the airline company. You can bring one piece of hand luggage to the airplane. The maximum dimensions depend on the airline company, but usually cannot exceed a range of 55x35x25cm and a weight of 5kg. For the exact dimensions, contact your airline company. Furthermore, you have to be aware of the fact that during group travels, there are luggage limitations. This is due to the fact that there is only a limited storage capacity in each car. For the sake of your fellow passengers and yourself, it is strongly advised to limit the amount of luggage you bring. We would advise you to use a soft travel bag or suitcase. Be aware of the fact that during fly-drives and camping trips, the amount of storage space is limited.
Payment: Except in case of hiring or when explicitly agreed otherwise, the traveler will pay 30% of the total travel fare in advance upon signing the offer; the minimum amount numbers 400EURO. Except when the offer indicates otherwise, the traveler will pay the total fare no later than five weeks (35 days) before departure. In case the traveler books less than five weeks before departure, he or she has to pay the total travel fare immediately.
Brochure errata: We try to be as studious as possible regarding information we provide in our brochure and price list. It is possible that we are confronted with errors or mistakes in our brochure and/or price list. Important additions and/or changes to the travel program will be informed to you as soon as possible. H3Reizen bears no responsibility for mistakes in its brochure and/or price list.
Final booking: A booking is final upon written or telephonic agreement of the customer. In case the customer is neglectful in paying the advance, H3Reizen has the right to cancel the agreement at any moment.
Excursions: Some excursions during safaris and group travel are included in the total travel fare, others are not. Excursions as written in the travel description are included in the travel fare, unless indicated otherwise. If you would like to participate in excursions not included in the travel fare, you will have to pay these on location. H3Reizen is not responsible for these excursions. Any complaints should be directed to the executive organization. Activities/Excursions as written in the fly-drive descriptions are never included in the total travel fare, unless indicated otherwise.
Health care prescriptions: Health care advise depends on your medical background, the desired stay in a country and the area you will visit. We strongly advise you to get personal medical advice. For information regarding health care prescriptions for Namibia and Botswana, please contact your municipal health service. Repealing: H3Reizen composes an offer based on availability and can therefore repeal its offer. Repealing will, if possible, be accompanied by reason but H3Reizen is not obliged to do so. Repealing due to correction of mistakes in the travel fare calculation as well as an increase of the total travel fare is allowed.
Internet: H3Reizen has its own website with information about Namibia and Botswana. Other websites provide information about Namibia and Botswana as well. H3Reizen bears no responsibility for possible inaccurate information obtained from any website.
Importing and exporting: Importing and exporting goods is subject to regulations. For details regarding import and export regulations in Namibia, you can contact the Dutch customs on tel. 0800-0143.
Local payment: All extras will be for your own expense. Please, pay close attention to the bill, because retrieving information and/or refunding afterwards is practically impossible.
Minimum age: Depending on the safari of your choice, participants have to be at least twelve (12) years of age.
Unused accommodations and services: Travelers who differ from the programmed or proposed route or who leave supervision on their own initiative, causing them to miss pre-arranged times or locations, are fully responsible for the accompanying extra costs. Unused accommodations and/or services will not be refunded. Otherwise unused accommodations, excursions and other services included in the travel fare but not used by the traveler cannot be refunded.
Passport and Visa: When visiting Namibia and Botswana, you passport has to be valid at least six months after leaving the country. Dutch residents do not need a visa when they stay for a maximum of three months. In case you have rented a vehicle, you have to be able to show a Dutch (or international) driving license. You are personally responsible for carrying the appropriate documents with you at departure and during your trip. Make sure you are aware of the most recent information. For this, we would advise you to contact the Namibian Embassy in Brussels, tel. 0032-27711410. Non-Dutch participants have to inform the Namibian Embassy of their country about the required documents. Prices: All our prices include air port taxes based on known data but might be changed without prior notice. Interim changes, for example added fuel taxes, will be passed to the customer. Group travel prices include tickets, air port taxes, hotel transfers in Windhoek, car rental, accommodation, guide, driver if necessary, meals if indicated in the travel description, access fees for multiple areas and excursions as indicated in the travel description (see “Excursions” in the Terms of Service). Prices are without additional surtaxes, drinks and optional excursions that have to be paid on site. Price list is valid from 31 oct. 2009 up to 31 oct. 2010.
Prices fly-drive and individual trips: Seen by the fact that both our fly-drives and individual trips consist of several self-determined components, we cannot offer you a fixed price. Prices are “from” prices, based on prices valid in low-season and dependent on availability. If necessary, child discounts and one-person surtaxes apply.
Travel documents: Your travel documents – plane tickets, vouchers, maps and others depending on the booked trip – will be sent to you up to at least one week before departure, but only after H3Reizen received the total travel fare unless agreed otherwise.
Travel supervision: All our group trips have in common that you fly to and from your destination without supervision. You will meet your travel supervision and other participants at the starting point of your tour.
Smoking: During the tour, smoking in the car(s) is not allowed. There will be smoking stops. Smoking during flights is prohibited.
Special wishes and demands: H3Reizen will, where possible, meet your known wishes and demands. However, we cannot guarantee that all of your wishes, preferences or demands will be met since this largely depends on the final service provider (for example the lodge owner or the airline company). A medial declaration is no guarantee for realizing your preference. We usually do not accept essences.
H3Reizen is a member of the SGR. All the trips published on this website are covered with SGR’s guarantee regulations. This means that the consumer can be assured a total refund of any paid advance when the distributor (H3Reizen) cannot meet its financial demands anymore. In case the agreement includes transport and the destination has already been reached, your return trip will be taken care of. Satisfaction: It might happen that you are not satisfied during your trip or that you note shortcomings in the execution of the travel contract. Please notify the service provider (see “Springbok” as well) as soon as possible. In case the shortcoming is not solved on site, this has to be reported to H3Reizen Windhoek or Springbok Atlas as soon as possible. In case the shortcoming has not been solved to your satisfaction and you wish to make a complaint, please do this extramural at the local agency. If this is impossible, direct your complaint to the tour operator. In case you neglect to report any shortcomings when notified and/or during your stay, this might mean that you lose any rights of retribution because we did not have an opportunity to offer you a solution.
Insurance: It is wise to be properly insured before you commence with your trip. We would therefore advise you to ask your insurance company for a proper travel- and cancellation insurance. As seen by the nature of the trip, it is wise to obtain a good medical insurance as well. H3Reizen offers the possibility to combine your trip with travel- and cancellation insurance. Nurturing: All group travels have in common that meals are included in the description of the trip.
Flights: H3Reizen is never liable for any negative consequences (both material and immaterial damage) caused by delays and/or cancellations from the services booked by H3Reizen, including flights.

Wild animals: During your trip, you might encounter wild animals. Animal attacks are scarce, but we cannot guarantee that this will not happen during a safari or wilderness travel. H3Reizen and its employees are never liable for any damages (material and/or immaterial) suffered from animal attacks. Please be aware of the fact that all accommodations from Wilderness Safari are out in the open, without fences. Botswana has no fences around its wildlife reservations, meaning animals can walk freely.

Changes: Once booked, it is not possible to change your date of departure any more. If you would like to change the date of departure from the Netherlands or Germany, we will consider this a cancellation. We reserve the right not to process any changes within 35 days of departure from the Netherlands or Germany or to make you aware of any cancellation fees (see “Cancellation fees”).
Changes in travel fare: H3Reizen has the right to change the travel fare when changes in transport costs, added surtaxes and/or exchange rates give reason to do so. Any added costs will be net, without add-ons.
